Privacy Notice

Bridge the Gap is committed to handling personal information fairly, lawfully and transparently. This Privacy Notice explains what information I may collect, why I use it, how long I keep it, who it may be shared with and the rights you have.
1. Who is responsible for your information?
Bridge the Gap is the Data Controller for personal information it collects and uses for its own business, training and administration purposes.

2. What information may I collect?
Your name, job title, organisation and work or personal contact details.
Information you provide when you contact Bridge the Gap through the website, email, telephone or another agreed communication channel.
Information needed to discuss, arrange, book and deliver training, including correspondence with organisational clients.
Limited learner information, such as a learner’s name and email address, where this is needed to administer or deliver training.
Attendance, booking or course administration information where this is necessary for the service being provided.
Invoice, payment and accounting information relating to clients and organisations.
Bridge the Gap aims to collect only the information reasonably needed for the relevant purpose and does not routinely seek health or medical information through the website.
3. Where might learner information come from?
Sometimes a learner provides information directly to Bridge the Gap. On other occasions, an employer or other organisation booking training may provide a learner’s name and/or email address, or copy the learner into an email, so that I can send joining instructions or otherwise administer the training.
Where I receive your personal information from an organisation rather than directly from you, the source will normally be the organisation that has arranged your training. I will use the information only for appropriate purposes connected with the training or another purpose explained to you.
4. Why do I use personal information?
To respond to enquiries and discuss services.
To arrange, administer and deliver training.
To communicate with organisational clients and learners, including sending joining instructions, practical information and relevant follow-up information.
To manage bookings, invoices, payments and business records.
To meet legal, tax, insurance and other legitimate business obligations.
To establish, exercise or defend legal rights or respond appropriately to complaints where necessary.
5. Lawful basis
Depending on the circumstances, Bridge the Gap may process personal information because it is necessary to take steps before entering into, or to perform, a contract; because it is necessary for legitimate business interests such as responding to enquiries, administering and delivering booked training and maintaining appropriate business records; or because processing is necessary to comply with a legal obligation.
Where legitimate interests are relied upon, I consider whether the processing is necessary and proportionate and whether your rights and interests override those interests.
6. MHFA England courses
Where Bridge the Gap delivers an MHFA England course, learners will normally be provided with a registration link so that they can register directly with MHFA England and provide the information required by MHFA England themselves. Information entered into MHFA England’s registration system is provided directly to MHFA England and is handled under MHFA England’s own privacy arrangements.
Bridge the Gap may still hold limited learner information, such as your name and email address, where this has been provided by you or by the organisation arranging the course and is needed to send joining instructions, communicate about the course or administer and deliver the training.
I do not use the fact that I hold a learner’s email address for course administration as permission to add that learner to a marketing list.
7. Who might information be shared with?
Personal information is not sold. It may be shared only where reasonably necessary, for example with service providers used to operate the business and website, professional advisers, insurers, accountants, payment or banking providers, or public authorities where disclosure is required or permitted by law.
For MHFA England courses, relevant information may also be handled by MHFA England in connection with registration, course administration, attendance or completion. Wherever possible, learners register directly with MHFA England rather than Bridge the Gap collecting duplicate registration information.
8. Website, Wix and cookies
The Bridge the Gap website is hosted using Wix. When you use the website, Wix and services used on the site may process technical information necessary to provide, secure and operate the website. Cookies or similar technologies may also be used. Where non-essential cookies require consent, the website’s cookie controls should allow you to make an appropriate choice.
9. How long is information kept?
Information is kept only for as long as it is reasonably needed for the purpose for which it was collected and for any applicable legal, tax, accounting, insurance or contractual requirements. Routine learner contact details used only to administer a course will not be deliberately retained indefinitely or used to create an unnecessary learner database.
Different records may therefore have different retention periods. Business and financial records may need to be kept longer than routine correspondence or course-administration emails.
10. International data transfers
Some technology providers used by Bridge the Gap may store or process information outside the UK. Where this occurs, I rely on the provider’s applicable data-protection arrangements and appropriate safeguards required by UK data-protection law.
11. Your rights
Depending on the circumstances, you may have rights to access your personal information, have inaccurate information corrected, ask for information to be erased or processing restricted, object to certain processing, or receive certain information in a portable format. Some rights depend on the lawful basis and circumstances of the processing.

12. Complaints
If you are concerned about how Bridge the Gap has handled your personal information, please contact me first so that I can look into the matter. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection.
13. Changes to this notice
This Privacy Notice will be reviewed periodically and updated if the way Bridge the Gap uses personal information changes.
